PRIVACY POLICY

This Privacy Policy explains how Aim4price processes Personal Information.

1. Who we are

1.1 Aim4price is operated by Kuyler Chris Geldenhuys trading as Aim4price.com (“Aim4price”, “we”, “us”, or “our”).

2. Scope and POPIA roles

2.1 This Privacy Policy applies to:
(a) the Aim4price website;
(b) direct communications with Aim4price;
(c) account, subscription, support, and operational information processed by Aim4price; and
(d) Platform processing where Aim4price acts as the Responsible Party.

2.2 Dealer Platform role split:
(a) For Dealer Data stored or processed in a dealer account, the Dealer is generally the Responsible Party and Aim4price acts as the Operator on the Dealer’s behalf.
(b) For information submitted directly to Aim4price outside that dealer-role context, including direct enquiries, billing records, support communications, and Aim4price’s own business operations, Aim4price acts as the Responsible Party.

3. What Personal Information we may process

Depending on the relationship and service used, we may process:

3.1 identity and contact information, such as names, email addresses, phone numbers, company names, and job titles;
3.2 account and access information, such as usernames, user roles, authentication records, login activity, IP addresses, browser/device details, and access logs;
3.3 billing, subscription, quotation, invoice, and payment-reference information;
3.4 Dealer-entered client, asset, valuation, report, PDF, and history information where the Platform is used;
3.5 support, complaint, and service communications sent to us;
3.6 technical and usage information needed for platform operation, security, support, diagnostics, analytics, and service improvement;
3.7 website usage data collected through cookies, analytics tools, or similar technologies where used; and
3.8 public listing references, public URLs, public-source metadata, and related market information used in Market Vault where lawfully available and operationally required.

4. How we collect information

We may collect Personal Information:
4.1 directly from you;
4.2 from your use of the Website or Platform;
4.3 from your authorised Users;
4.4 from service providers used to operate the Website or Platform;
4.5 from public sources and public links where relevant to Market Vault or market-reference functionality; and
4.6 from lawful operational logs, diagnostics, and support interactions.

5. Why we process Personal Information

We process Personal Information only to the extent reasonably necessary to:

5.1 provide Platform and Website functionality;
5.2 create and manage accounts and subscriptions;
5.3 authenticate users and enforce access controls;
5.4 generate outputs, reports, valuations, and PDFs requested through the Platform;
5.5 provide support, maintenance, troubleshooting, and customer service;
5.6 monitor, secure, and protect the Website, Platform, users, and infrastructure;
5.7 prevent fraud, abuse, misuse, and unauthorised access;
5.8 maintain logs, backups, records, and audit trails;
5.9 comply with legal, tax, accounting, contractual, regulatory, and enforcement obligations;
5.10 improve the Platform, Website, and related services; and
5.11 create aggregated and/or de-identified Market Intelligence, analytics, and benchmarks that are not designed to identify specific persons.

6. Sharing and operators / service providers

6.1 We may share Personal Information with service providers and operators required to host, secure, maintain, support, or operate the Website or Platform, including hosting, infrastructure, analytics, support, communication, and storage providers.
6.2 These providers may include Wix and its processors or connected service providers used in the normal course of service delivery.
6.3 We may also disclose Personal Information where required by law, court order, subpoena, lawful regulatory request, fraud investigation, or protection of our rights or systems.
6.4 We do not sell Dealer Personal Information as a standalone product.

7. Cross-border processing and transfers

7.1 Because our service providers and infrastructure may operate in multiple jurisdictions, Personal Information may be processed or stored outside South Africa, including in the USA, Ireland, or other jurisdictions relevant to service delivery.
7.2 Where cross-border processing occurs, we take reasonable steps to ensure that such transfers occur only where lawful and subject to appropriate safeguards, contractual protections, or another lawful basis recognised by POPIA.

8. Security

8.1 We implement reasonable technical and organisational safeguards appropriate to the risk, taking into account the nature of the information and the processing involved.
8.2 Such safeguards may include access controls, role restrictions, authentication measures, logical data separation, monitoring, logging, backups, and operational security procedures.
8.3 No system can be guaranteed to be completely secure, and we do not warrant absolute security.

9. Retention

9.1 We retain Personal Information only for as long as reasonably necessary for the purposes for which it was collected or processed, including service delivery, support, backups, security, audit, fraud prevention, dispute handling, legal compliance, and enforcement.
9.2 We may retain aggregated and/or de-identified Market Intelligence for longer periods.
9.3 We may retain limited logs, archival copies, or backups where reasonably necessary for lawful business or security purposes.

10. Data subject rights

10.1 Where Aim4price acts as the Responsible Party, a data subject may, subject to applicable law, request access to, correction of, or deletion of Personal Information, or lodge an objection or complaint as permitted by law.
10.2 Where a request relates to data controlled by a Dealer using the Platform, that request should generally be directed to the relevant Dealer as the Responsible Party. Aim4price may assist the Dealer as Operator where reasonably required.
10.3 A person may opt out of non-essential marketing communications from Aim4price where applicable.

11. Market Vault and public links

11.1 Market Vault may process and reference public links, public listings, public-source metadata, and related market information for benchmarking, price discovery, and market-reference functionality.
11.2 Aim4price does not claim ownership of third-party source material.
11.3 If you believe that a public-link reference, public-source entry, or related content in our systems is unlawful, inaccurate, infringing, or should be reviewed for privacy or rights reasons, you may contact us and we may investigate, correct, restrict, or remove the relevant material where appropriate.

 

12. Changes to this Privacy Policy

We may update this Privacy Policy by publishing a revised version with a new effective date.
